Refund Policy
Fixed-price builds deserve fair payment terms: milestones you approve, a scoping phase that costs nothing, and no charge for software that was never delivered.
How Payment Works
Scoped builds are paid in stages, defined in your engagement agreement: a deposit on scope approval, milestone payments as reviewed work is delivered, and a final payment at hand-off. There is no charge for the scoping phase itself.
This structure is the refund policy, mostly: you never pre-pay for a year of anything, and each payment maps to work you've already seen.
Deposits and Cancelled Builds
If you cancel an engagement before work begins, your deposit is refunded in full.
If you cancel mid-build, you pay for milestones already delivered and approved; any unearned portion of payments already made is refunded. Whatever was built to that point is delivered to you with its source — you paid for it, you keep it.
If we fail to deliver a milestone to the agreed scope and can't fix it within a reasonable cure period set in the engagement agreement, you're entitled to a refund of payments for that undelivered work.
Optional Hosting
Hosting is billed as a flat monthly fee and can be cancelled at any time, effective at the end of the current billing period — you keep access through the period you paid for, and we hand you the deployment on the way out.
Hosting charges for periods already served are non-refundable; there's no annual prepayment to claw back because we don't bill that way.
Billing Errors
If you were charged incorrectly — wrong amount, duplicate charge, or a charge after cancellation — email billing@virobit.dev and we'll refund the error within 1 business day of confirming it. Funds return to your original payment method within 5–10 business days.
Chargebacks
Please contact us before initiating a chargeback with your bank — with milestone billing, nearly every dispute is fixable by email in a day.
Hosted services tied to a disputed charge may be suspended pending resolution. Fraudulent chargebacks — where a refund was already issued or the charge was legitimate — may be referred to collections.
